Definitions

Company — "Athma", "athmamindcity.com", "Company", "we", "our", "us" or similar terms refer to Athma Rehabilitation Centre, operated by Athma Hospitals Research Pvt. Ltd., as provider of Services for the remainder of this document.

User — "Client", "patient", "user", "you", "your" or similar terms refer to you, as the user of the website, mobile application(s), and recipient of our Services and resources.

Platform — refers to any mobile app, website, or web links that the User can employ to access Services provided by the Company.

Wellness Professional — "Psychiatrist", "Wellness Professional", "therapist", "consultant", "doctor" or similar terms refer to the clinical or rehabilitation professional delivering care through Athma.

Nature of Service

Athma Rehabilitation Centre is a psychiatric and rehabilitation care platform that delivers dementia care, psychiatric, and substance & behavioural addiction recovery services to individuals and families. Our offerings may include, but are not restricted to:

• In-person and residential rehabilitation programs for dementia care, psychiatric conditions, and substance & behavioural addiction recovery
• Online and face-to-face consultations with authorised Wellness Professionals, in one-to-one or group formats
• Periodic clinical assessments and psychometric evaluations
• Workshops, family-therapy sessions, and community awareness programs
• Self-help tools, educational content, and programmes delivered via our website, mobile application(s), and emails
• Participation in feedback forms, forums, and other submissions on the platform

Athma reserves the right to add or remove products and Services from its overall offerings without prior notification. The above are collectively referred to as "Services".

Consent

By using the platform, providing us with your Personal Information, making use of the features provided by the platform, or making a payment to Athma, you provide your consent to the collection, storage, processing, disclosure, and transfer of your Personal Information in accordance with this Privacy Policy and applicable Indian data-privacy laws. If the user is below 18 years of age, the parent or guardian provides informed consent on the minor's behalf for treatment and for the handling of Personal Information as described here.

You acknowledge that you provide your Personal Information out of your own free will, either directly to Athma or through a third party or your organisation. You may withdraw your consent at any time by writing to info@athmamindcity.com. If you do not provide, or you withdraw, your Personal Information, we may not be able to fulfil the purposes for which it was sought, and your use of the platform may be restricted accordingly.

Personal Information

To enable you to engage with our Services, we use personal information such as your name, phone number, emergency contact, gender, occupation, hometown, personal interests, email address, reason(s) for cancelling an appointment, medical and rehabilitation history, and any other information a Wellness Professional might require ("Personal Information"). We also collect information from responses, in-app inputs, assessments, or feedback you send us.

We may use your Personal Information to identify and reach you; resolve service and billing queries; schedule, remind, or follow up on appointments; share further information about our programs; better understand patient needs; run anonymised statistical research; detect and protect against fraud; make legally required disclosures; and improve our website and mobile application(s).

Your information helps our Wellness Professionals assess your condition and recommend the most suitable rehabilitation program. On rare occasions we may use trusted third-party tools to support session delivery or in-app experience — in such cases, only the minimal information required is shared.

Updating Your Information

If your Personal Information changes, or you need to correct it or raise a grievance about how it is processed, write to info@athmamindcity.com and we will make reasonable efforts to incorporate the changes promptly. Some information, such as answers submitted to online assessments, cannot be edited once submitted; you may request its removal and we will accommodate this where we have no legal obligation to retain it.

Please note that certain records (payment history, feedback, clinical notes, etc.) must be retained for a pre-specified period under professional and legal standards, even after account deletion.

Cookies & Tracking Technologies

We use cookies for analytics and advertising purposes (including Google Ads and Google Analytics). Persistent cookies may save your login credentials for future visits; session cookies help us understand how you interact with the Services and are deleted once you close your browser. These tools may collect your IP address, browser type, device information, pages visited, and time spent on pages, so we can improve our Services and deliver relevant information.

You can instruct your browser to stop accepting cookies or to prompt you before accepting one; however, some features of the platform may not function correctly without them.

Log Data

Athma maintains the confidentiality of information disclosed during a personal consultation or admission. All reasonable precautions are taken to protect confidential information. As part of delivering coordinated, high-quality care, our treating team — which may include multiple Wellness Professionals and supervisors — will have access to the clinical information required for treatment and will regularly communicate to ensure safety and continuity of care.

If there is a threat to the wellbeing of the client or others (including risk of harm to self or others), the Wellness Professional is obligated to share information with the clinical supervisor, emergency contacts, family, or, where necessary, law enforcement authorities. Similarly, knowledge of abuse involving minors, senior citizens, or persons with disabilities will be shared with the relevant authorities as required by law. Where a referral to another professional is needed, clinically relevant information may be shared with your consent. Aggregated or anonymised information may be used for research and audit purposes. If a patient is accessing family or couples-based rehabilitation programs, relevant Personal Information may be shared with the family members or partner involved in that care, with appropriate consent.

Third Party Disclosure

Athma does not sell or trade your Personal Information to third parties without advance notice. This does not apply to hosting partners and other parties who assist us in operating the platform or servicing you. We may release information where required to comply with the law, protect our rights or the safety of others, or enforce our platform policies. Non-identifiable visitor information may be used for marketing or research purposes.

Security

We employ administrative, physical, and technical safeguards designed to protect information under our control from unauthorised access, use, or disclosure, consistent with industry standards. None of our call or video consultations are recorded; in keeping with professional standards, Wellness Professionals may be required to maintain written records of sessions.

We strongly discourage posting Personal Information in public forums or comments on the platform. It is your responsibility to keep your email and phone messages secure — Athma will use these channels to communicate about your care and cannot be held liable if they are accessed by an unauthorised third party.

Links

The platform may contain links to third-party sites that are not under Athma's control. We are not responsible for the privacy practices of such sites; please review their policies independently. Access to any linked third-party site is entirely at your own risk.

Changes To This Policy

Athma reserves the right to change this Privacy Policy at any time. Where changes are significant, we will make reasonable efforts to notify you via the website or by email before you continue using the platform. Continued use of our Services after such notice constitutes your acceptance of the revised terms.

Jurisdiction

This Policy has been drafted in accordance with Indian law. Any disputes arising between the user and Athma with regard to this Policy shall be subject to the exclusive jurisdiction of the courts at Tiruchirappalli (Trichy), Tamil Nadu, India.
